The Problem with the "Old Way" of Sharing Emails
Before we dive into the "how," let's look at the "why." Traditionally, if a business wanted multiple people to monitor info@yourbusiness.com, they would create a standard user account and give everyone the password. This creates three major headaches:
- The Security Nightmare: Sharing passwords is a massive red flag. If everyone knows the password, you can’t easily track who deleted an important message or sent an unprofessional reply. Furthermore, Multi-Factor Authentication (MFA) becomes a hurdle; who gets the text code when someone tries to log in?
- Licensing Costs: Every standard user account in Microsoft 365 requires a paid license. If you have five different "department" emails, you’re paying for five unnecessary licenses.
- Lack of Accountability: When five people are logged into the same account, it’s nearly impossible to know who is handling which task.

What Exactly is a Shared Mailbox?
A Shared Mailbox is a feature within Microsoft 365 that allows multiple users to read and send email from a common email address. Here is the kicker: it doesn’t require its own license (as long as it stays under 50GB).
Instead of logging in with a username and password, you grant specific members of your team permission to access the mailbox through their own work accounts. When they open their Outlook, the shared mailbox simply appears in their sidebar. It’s clean, it’s secure, and it’s free.
Step-by-Step: Setting Up Your Shared Mailbox
Setting this up requires administrator access to your Microsoft 365 tenant. If you’re one of our Managed IT Support clients, we usually handle this for you, but if you’re DIY-ing it, here is the process:
1. Create the Mailbox
- Log into the Microsoft 365 Admin Center.
- In the left-hand menu, go to Teams & Groups > Shared mailboxes.
- Click + Add a shared mailbox.
- Give it a name (e.g., "Customer Support") and an email address (e.g.,
support@anantek.solutions). - Click Save changes.
2. Add Your Team Members
Once the mailbox is created, you need to tell Microsoft who is allowed to see it.
- In the Shared mailboxes list, click on the one you just created.
- Under Members, click Edit.
- Click + Add members and select the staff members who need access.
- Click Save.
3. Set Permissions (The Important Bit)
There are two main types of permissions you’ll want to understand:
- Read and Manage (Full Access): This allows the user to open the mailbox, see all the folders, and organize emails.
- Send As: This allows the user to reply to an email so that it looks like it came from the shared address (e.g., the client sees a reply from
info@, notjohn.smith@).

Best Practices for SME Managers
Managing a shared mailbox isn't just about the technical setup; it’s about the workflow. For SMEs: whether you’re running a school administration office or a fast-paced fit-out company: clarity is king.
Use Folders for Triage
Encourage your team to create folders like "In Progress," "Pending Info," and "Completed." When a team member starts working on an email, they should drag it into "In Progress." This prevents two people from accidentally replying to the same client at the same time.
Categorisation
Microsoft 365 allows for colour-coded categories. You can assign a specific colour to each team member. This way, a quick glance at the inbox shows that "Blue" (Sarah) is handling the urgent query from the new vendor.
Reliable Connectivity
Your email collaboration is only as good as the network it sits on. We’ve seen many businesses struggle with "laggy" shared mailboxes because their office Wi-Fi isn't up to the task. If you’re experiencing sync issues, it might be time to look at your Wi-Fi and network installation.
Accessing Shared Mailboxes on Mobile and Desktop
One of the most common questions we get is: "How do I see this on my phone?"
On Outlook Desktop (Windows/Mac)
Good news: you don't have to do anything. Once permissions are granted, the shared mailbox will usually automagically appear in the left-hand folder pane of Outlook within 60 minutes. If it doesn't, a simple restart of Outlook usually does the trick.
On Outlook Web (OWA)
- Log into your email at
outlook.office.com. - Right-click on your primary "Folders" header in the left pane.
- Select Add shared folder or mailbox.
- Type in the address of the shared mailbox and click Add.
On Mobile (iOS and Android)
To keep things professional, we always recommend using the official Microsoft Outlook app.
- Open the Outlook app.
- Tap your profile icon in the top left.
- Tap the Add Account button (the envelope icon with a plus sign).
- Select Add Shared Mailbox.
- Enter the email address of the shared mailbox. It will then be added as a separate toggle in your sidebar.
